5 AI tasks that save a small business hours every week

Five tasks: drafting emails and quotes, summarising long documents, turning rough notes into finished documents, answering common customer questions, and tidying up data. A single general AI assistant — Claude, Gemini or ChatGPT, all with free tiers — covers every one of them, and you can set each up in an afternoon.

The gains are not marketing fluff; they have been measured. When 5,179 customer support agents were given an AI assistant, they resolved 14% more queries per hour on average, and newer staff 34% more. In a controlled experiment published in Science, professionals given ChatGPT for everyday writing tasks finished 40% faster, and the quality of their work was rated 18% higher.

1. Drafting emails and quotes

Give the assistant the gist — who it’s for, the three points you need to make, the tone — and it returns a solid first draft to tidy and send. It works best on the messages you write over and over: enquiry replies, follow-ups, quotations, payment chasers.

Set-up is a saved prompt, not a project. Write one paragraph describing your business and how you like to sound, keep it pinned in a chat, and paste the specifics of each message under it. If you use Gmail or Google Docs on a Workspace plan, Gemini is built in and can draft and summarise without leaving your inbox.

Realistic saving: if you write ten careful emails or quotes a day at eight minutes each, that’s about six and a half hours a week. The 40% drafting speed-up measured in the MIT study would hand back roughly two and a half hours — from this task alone.

2. Summarising long documents and threads

Paste in a long email thread, or upload a contract, tender or report, and ask for the key points, the obligations and any deadlines. You get the shape of the thing in a minute instead of an hour — ideal before a meeting, or when catching up after leave.

Both Claude and Gemini accept PDF uploads on their free tiers. A useful habit: always ask “what’s missing or unusual here?” as a follow-up — assistants are good at spotting the clause you’d skim past. For anything legally binding, the summary tells you where to focus; it doesn’t replace reading the clauses that matter.

3. Turning rough notes into finished documents

Scribbled meeting notes, a voice memo transcript or six bullet points become a tidy client summary, a proposal or a staff announcement. You supply the thinking; the assistant handles structure and phrasing. This is the same 40%-faster writing effect as task one, applied to bigger documents — and the study found quality went up, not down.

The trick is to give it a skeleton: “Turn these notes into a one-page proposal with sections for scope, price and timeline.” Ask for British English and your preferred length, and save that instruction so you never type it twice.

4. Answering common customer questions

Most businesses answer the same ten questions all week — opening hours, pricing, delivery, what’s included. Start simple: have the assistant draft a clear standard answer to each, and keep them as saved replies. Consistency alone saves arguments later.

When you outgrow that, a small chatbot can handle the routine ones around the clock and pass unusual ones to you. 5. Tidying and extracting data

Ask the assistant to clean up a messy customer list, reformat a spreadsheet export, or pull names, amounts and dates out of a stack of invoices into a neat table you can paste into Excel. You can even photograph a paper form with your phone and upload the image. This is the dull data-wrangling that quietly eats afternoons.
