For a small business, AI is genuinely useful at a handful of specific, repetitive jobs today: answering routine customer enquiries, drafting emails and marketing copy, taking meeting notes, pulling data out of receipts and invoices, handling scheduling, and explaining what your numbers are doing. Most of it costs nothing to trial and under US$20 a month per person to keep. It won’t run your business for you — but it can quietly hand you back hours every week.
This isn’t hype. IMDA’s Singapore Digital Economy Report 2025 found SME adoption of AI more than tripled in a year — from 4.2% of firms in 2023 to 14.5% in 2024 — and that 73.8% of surveyed workers now use AI tools at work. Below is what that actually looks like, task by task, with real tools and real prices.
Answering customer enquiries
If the same ten questions arrive by WhatsApp, email and web chat every week — opening hours, pricing, delivery, “do you have this in stock?” — an AI agent trained on your own material can answer most of them instantly, at any hour, and pass the genuinely tricky ones to a human.
This is also the best-evidenced use of AI in business so far. A large NBER study of customer support agents by Stanford’s Erik Brynjolfsson and colleagues found an AI assistant lifted the number of issues resolved per hour by 14% on average — and by 34% for the newest, least-experienced agents — while customer satisfaction went up, not down.

Writing and marketing
General assistants such as ChatGPT, Claude and Google Gemini do the blank-page work: first drafts of quotes, proposals, product descriptions, social posts and awkward customer emails. You supply the facts and the final judgement; the tool supplies a competent draft in seconds. This is exactly how most people already use AI. Among Singapore workers who use AI, IMDA’s survey found writing and editing is one of the top uses — and 85% of AI users reported gains in productivity, time saved or work quality.
Meeting notes and follow-ups
An AI notetaker joins your video calls, transcribes them, and hands you a summary with action items before you’re back at your desk. For anyone who runs client calls, site briefings or supplier negotiations, this is often the fastest win of the lot — nobody has to be the person scribbling instead of listening.
Fathom offers unlimited recordings, transcripts and AI summaries on its free plan (Premium is US$20 a month as of July 2026). Otter.ai gives you 300 free transcription minutes a month, with Pro at US$16.99 per user per month.
Bookkeeping and data entry
AI is very good at reading messy documents — receipts, supplier invoices, delivery orders — and turning them into clean, structured records. Tools such as Dext photograph or ingest paperwork, extract the figures (Dext claims 99.9% accuracy) and push them straight into accounting software like Xero or QuickBooks. Pricing depends on users and document volume, with a 14-day free trial as of July 2026.
The judgement calls — how to treat an expense, what GST applies — still belong to you or your accountant. The typing no longer does.
Scheduling
The endless “does Tuesday 3pm work?” back-and-forth is a solved problem. Calendly lets clients book straight into your free slots (free plan; Standard is US$10 per seat per month billed annually, as of July 2026). Reclaim.ai goes further and uses AI to defend focus time and automatically reshuffle your calendar; it has a free tier, with Starter at US$10 per seat per month billed annually.
Light analysis
You don’t need a data team to ask “why were sales down in May?” or “which customers haven’t ordered in six months?”. Modern assistants can read a spreadsheet and answer in plain English. If your business already runs on Microsoft 365, Microsoft 365 Copilot builds this into Excel, Word and Outlook for US$18 per user per month on annual billing (a promotional rate as of July 2026; US$25.20 billed monthly, on top of a Microsoft 365 Business plan). What it’s not good for
It’s just as important to know the limits. AI is the wrong tool for final judgement calls, for anything where a wrong answer is costly and unchecked, and for handling sensitive data carelessly. It will occasionally state something false with complete confidence, so treat its output as a capable first draft from a fast assistant — useful, but it needs your eye before it goes out the door.

Don’t try to “adopt AI” in the abstract. Pick the one task above that eats the most of your week, try one tool on it for a fortnight — nearly all have free tiers, so the trial costs you nothing but attention — and judge it on hours saved. Do I need technical skills to use AI?
No. The everyday tools work through plain conversation — you type what you want in normal English. The harder part is choosing the right tool and setting it up well, which is exactly the bit we help with.
Will AI replace my staff?
For small businesses it’s far more often a way to remove drudgery than a replacement for people — the strongest study so far found the biggest productivity gains went to the newest, least-experienced staff, effectively helping them learn faster.
How much does it cost to get started?
