There is no single “best” AI tool for a small business. The best tool is the one that removes a job you do every week — so start from the task, not the brand. Pick one tool for one job, prove it earns its keep, then add the next. This roundup maps the categories that matter to the work they do, with real products and current prices.
We’re vendor-neutral: nothing below pays us a referral fee, and the AI market moves fast enough that you should treat named products as strong examples rather than fixed picks. Most Singapore firms begin exactly where we suggest — with off-the-shelf tools. In IMDA’s Singapore Digital Economy Report 2025, AI-using firms mostly relied on off-the-shelf generative AI tools (84%), then domain-specific software (52%), with custom or proprietary tools last (44%).
The jobs, the tools, the prices
Here is the landscape mapped to the job each tool does. Free tiers are usually enough to trial; the paid prices below are what unlocks daily, business-grade use.
| Job to be done | Tools worth knowing | Price (as of July 2026) |
|---|---|---|
| General assistant — writing, summarising, answering | ChatGPT, Claude, Gemini | Free tiers; paid ~US$20/user/month |
| Meeting notes — transcribe calls, capture actions | Otter.ai, Fireflies, tl;dv | Free tiers; Otter Pro US$16.99, Fireflies Pro from US$10/seat |
| Writing polish — grammar, tone, rewrites | Grammarly | Free; Pro US$12/member/month |
| Design — graphics and social posts | Canva | Free; Pro S$18/month |
| Customer support — answer FAQs 24/7 | Intercom Fin, Tidio (Lyro) | Fin US$0.99/resolution; Tidio free, Lyro from US$32.50/month |
| Automation — connect apps, run routine tasks | Zapier, Make | Free tiers; Zapier Pro from US$19.99, Make Core US$9 |
| Accounting — invoicing, books, receipt capture | Xero, QuickBooks, Dext | Dext from ~US$25/month (annual); Xero & QuickBooks — PSG-listed (see below) |

General assistants: adopt one first
The all-rounders — ChatGPT, Claude and Gemini — draft, summarise, brainstorm and answer questions. If you do nothing else, adopt one and use it daily. Pricing has settled at a common tier: Claude Pro is US$20/month, and independent trackers put ChatGPT Plus at US$20 and Google AI Pro at US$19.99 (both as of July 2026). Each has a capable free tier for trialling. Not sure which suits your work? Read ChatGPT vs Claude vs Gemini for business.
Meeting notes and writing
Meeting assistants join your calls, transcribe them and produce a summary with action points, so nobody types minutes. Otter.ai Pro is US$16.99/user/month (free tier: 300 minutes); Fireflies Pro starts at US$10/seat/month on annual billing, with a free forever tier. For written work, the general assistants draft; Grammarly then checks grammar, tone and clarity across your apps — free, or Pro at US$12/member/month.
Design without a designer
Canva turns words into on-brand graphics, decks and social posts using its built-in AI. The free plan covers a lot; Canva Pro is S$18/month in Singapore for one user (as of July 2026), which adds brand kits, background removal and premium templates.
Customer support that answers overnight
An AI support agent answers your most common enquiries instantly and hands the tricky ones to a person. Pricing here is worth understanding because it splits two ways. Intercom’s Fin charges US$0.99 per resolution — you pay only when it actually settles a query — which suits variable volumes. Tidio’s Lyro agent is subscription-based, from US$32.50/month for 50 AI conversations, with a free tier to start. For a business with steady, repetitive enquiries, this is one of the highest-value uses of AI — just point it only at questions you’re happy to answer without a human.
Automation: make the apps talk to each other
Zapier and Make connect your tools so routine work runs itself — moving data, sending follow-ups, filing records — increasingly with AI steps built in. Zapier has a free tier of 100 tasks/month, with Professional from US$19.99/month. Make is cheaper to scale on volume: free to start, then Core at US$9/month for 10,000 operations. Both count usage, not seats, so cost tracks how much you automate.
Accounting: mind the Singapore rules
For bookkeeping the mainstream cloud options are Xero and QuickBooks, with Dext (Business from about US$25/month on annual billing) capturing receipts and bills so the data enters itself. Two local specifics matter here. First, many of these are pre-approved under the Productivity Solutions Grant (PSG), which funds up to 50% of eligible costs, capped at S$30,000 per company (as of July 2026) — browse and apply through the GoBusiness portal. Second, if you’re GST-registered, check InvoiceNow readiness: under the IRAS GST InvoiceNow requirement, new voluntary registrants already transmit invoice data to IRAS via the nationwide e-invoicing network, and existing GST-registered businesses will be brought on progressively from April 2028 to April 2031. Choosing InvoiceNow-ready accounting software now saves a migration later.
How to choose — and what it adds up to
Whatever the category, judge a tool on four things: does it fit how you already work; does it connect to your other systems; what does it really cost across a year (see how much AI costs an SME); and how does it handle your data (see is your business data safe with AI, which matters for PDPA). Start with one general assistant, add a specialist only when a specific, repeated task clearly justifies it, and look for the jobs where automation frees the most hours — our list of AI tasks that save small businesses time is a good place to spot them.
Common questions
Should I buy an all-in-one AI platform?
Usually not at first. Two or three well-chosen tools that each do one job well beat a sprawling platform you only half-use and pay for in full.
Can grants cover the cost?
For many accounting, HR and productivity tools, yes: the Productivity Solutions Grant funds up to 50% of eligible costs (capped at S$30,000 per company) for solutions pre-approved on the GoBusiness portal.
How many tools do I need?
Start with one general assistant. Add a specialist tool only when there’s a specific, repeated task it clearly solves — and switch off anything you stop using.
